Privacy Policy
Last updated: 10/23/2026
DMS Visa International ("we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect when you use dmsvisa.com and our visa, passport and document legalization services, how we use and share it, and the choices you have.
Where this Policy says we need your consent, such as for analytics cookies, we ask for it separately. Simply visiting the site does not count as agreement.
1. Information we collect
Information you give us through the contact form
- Your name and email address
- Your message and anything else you choose to include
Information you give us when you use our services
To process a visa, passport or legalization application we need information about the traveller or document holder. Depending on the service, this may include:
- Full name, date and place of birth, nationality and sex
- Passport number, issue and expiry dates, and copies of the passport
- Contact details, home and work address
- Travel dates, itinerary and purpose of travel
- Photographs and supporting documents required by the destination country (for example invitation letters, employment letters or certificates to be legalized)
- Order and payment records, such as the services ordered and amounts paid
Some destination countries require information that is sensitive, such as criminal record or health details. We collect it only when the application requires it, and use it only for that application.
Technical information collected automatically
- IP address, browser type and version, and device informationd
- Pages visited, time spent on them, and the date and time of your visit

Children
Our website is not directed at children under 13, and we do not knowingly collect information from them online. Applications for minors must be submitted by a parent or legal guardian, who provides the child's information on their behalf.
2. How we use your information
We use the information we collect to:
- Prepare, check and submit your visa, passport or legalization application
- Respond to your inquiries and provide customer service
- Process payments and keep business and tax records
- Operate, maintain and secure our website, including preventing spam and abuse
- Understand how visitors use our site so we can improve it, only if you accept analytics cookies
- Comply with legal obligations
We do not sell your personal information, and we do not use it for advertising.
3. Cookies and analytics
Cookies are small text files stored on your device. We use a small number of essential cookies, plus Google Analytics cookies only if you agree to them.
- csrftoken (DMS Visa, essential, expires after 1 year): protects forms, such as the contact form, against forgery.
- _ga (Google Analytics, only with your consent, expires after 2 years): distinguishes visitors for aggregate statistics.
- ga[ID] (Google Analytics, only with your consent, expires after 2 years): keeps track of the current visit.
- _gid (Google Analytics, only with your consent, expires after 24 hours): distinguishes visitors for aggregate statistics.
We also store your cookie choice in your browser's local storage, so we don't ask you again on every visit.
Google Analytics. We use Google Analytics 4 to understand, in aggregate, how visitors find and use our site. It does not load until you click Accept on our cookie banner. Google processes this data under its own privacy policy.
Changing your mind. Use the Cookie settings link in the footer of any page to change your choice at any time. If you decline after previously accepting, we stop analytics and delete the Google Analytics cookies from your browser.
You can also block or delete cookies in your browser settings. Blocking essential cookies may stop parts of the site, such as the contact form, from working.
4. Spam protection (Google reCAPTCHA)
Our contact form is protected by Google reCAPTCHA, which helps us tell real people from automated spam. reCAPTCHA collects hardware and software information, such as device and browser data, and sends it to Google for analysis. Because it is needed to keep the form working, reCAPTCHA is treated as essential and is not controlled by the cookie banner.
5. How we share information
Governments, embassies and consulates. To process your application, we submit your information and documents to the embassy, consulate or government authority of the destination country, and where needed to the US Department of State or other authorities that authenticate documents. These bodies handle your information under their own laws and policies, which may differ from US law.
Service providers. We use a small number of vendors who process information on our behalf and may use it only to provide their service to us:
- DigitalOcean: hosts our website and its data in the United States.
- Google: website analytics (only with your consent) and reCAPTCHA spam protection.
- [Email provider]: delivers and stores email, including contact form messages.
- [Cloudflare, if used]: website delivery and security.
- [Couriers, e.g. FedEx ]: ship passports and documents to and from you, embassies and authorities.
Payments. When you pay online, your card is entered directly with our payment processor, Square, and handled under Square's privacy policy. We never see or store your full card number.
Legal requirements and protection. We may disclose information if required by law or a valid legal request, such as a subpoena or court order, or to protect the rights, property or safety of DMS Visa International, our customers or others.
Business transfers. If our business is sold or merged, your information may transfer to the new owner, who must continue to protect it in line with this Policy.
We do not share your information with third parties for their own marketing.
6. How long we keep information
We keep personal information only as long as we need it for the purposes above, then delete or anonymize it.
- Contact form messages: [24 months] after our last reply.
- Application data and document copies: [3 years] after the application is completed.
- Order, payment and tax records: [7 years], as required for accounting and tax purposes.
- Server and security logs: [90 days].
- Google Analytics data: [14 months], set in our Google Analytics account.
Original passports and documents are returned to you, not kept. We may keep information longer if the law requires it or to resolve a dispute.
7. Information security
We use reasonable administrative, technical and physical safeguards to protect your information, including encrypted (HTTPS) connections and restricted staff access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your choices and rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your information, subject to legal requirements
- Withdraw consent you have given, such as for analytics cookies, at any time
- Object to or restrict certain uses of your information
To make a request, email us at the address below. We may need to verify your identity first, and we aim to respond within 30 days. Withdrawing consent does not affect anything we did before you withdrew it.
9. Visitors and clients outside the United States
We are based in the United States, and your information is stored and processed here. If you are in the European Union, the United Kingdom or another region with data protection laws, we rely on these legal bases:
- Performing our contract with you — to process your application and orders
- Legal obligation — for tax, accounting and regulatory records
- Legitimate interests — to secure our site and respond to inquiries
- Consent — for analytics cookies
You also have the right to complain to your local data protection authority.
10. Third-party links
Our website links to sites we do not operate, such as embassy and government websites. We are not responsible for their privacy practices, and we encourage you to read their policies.
11. Changes to this Policy
We may update this Policy from time to time and will change the "Last updated" date at the top when we do. If we make significant changes, we will place a notice on our website before they take effect.
